Web Conferencing (or Webinars) can be a rich multimedia experience for collaborating on projects and holding meetings with participants located far and wide geographically. The virtual audience can be unnerving for some though, so how do you ensure your next conference is a success...
Today’s Web conferencing systems allow true, live meetings to be conducted among participants who log in from their respective locations using a laptop or desktop computer and Internet connection, and most often a phone as well. Web conferencing has many applications, depending on the tools and features available within a given system. Some examples of applications for Web conferencing include:
- giving sales presentations to clients,
- providing customer support,
- demonstrating products and software,
- conducting training sessions,
- collaborating on projects, and
- participating in a Web surfing “party” in which everyone share a single Web surfing experience.
So how do we go about planning a webinar? The secret to your success is all in the planning. As the old mantra says: If you fail to plan you are planning to fail. The 3 key ingredients of your presentation should include the Plan, the Design and the Delivery.
The Planning needs you to really understand the web conferencing platform you are using and what elements can be introduced to keep your participants involved. Interactivity is vital and can be achieved by using polling questionnaires, a whiteboard or a chat box.
The Design focuses on the applications that you can use during your presentation. Gone are the days of online bulletins, text driven forums and "death by powerpoint". Instead you should be thinking visually. Show but don't tell! Build interaction around short bursts of information and seek ways of obtaining participant feedback. Use those applications that suit the content. If live web or application examples can be used, use them!
The Delivery phase is all about keeping your interactivity levels high and maintaining the pulse of the audience. Try not to depend on voice alone but use a creative approach with your presentation. If possible have a "presentation buddy", an extra, active set of eyes & ears. Someone who can assist you in managing your Q&A sessions, your instant feedback polls, and the communication amongst the presentation team.
